Terms of Service

1. Acceptance of terms

By creating an account or otherwise using BDE Brain (“the Service”), you agree to be bound by these Terms of Service. If you use the Service on behalf of an organization, you represent that you have authority to bind that organization.

2. The service

BDE Brain connects to tools you authorize, builds a knowledge graph from the resulting data, and proposes follow-through actions. Selected workflows support explicit review before write-back; other actions follow the policies configured for your project.

3. Data processing

We process the content you connect (meetings, tickets, code, documents, and related metadata) solely to provide the Service to you: indexing it into your project's knowledge graph, answering your queries, and generating proposals for your review.

Data belonging to one project is isolated from every other project; it is never used to train shared models and is not sold or shared with third parties for their own purposes.

4. Subprocessors

We rely on a limited set of subprocessors to operate the Service — cloud hosting, vector search infrastructure, and large language model providers for generation and embeddings. A current list of subprocessors and the categories of data each one handles is available on request via the Contact section below.

5. Retention

Connected data and the entities derived from it are retained for as long as your project remains active. On account or project deletion, data is removed from primary storage within a defined window and purged from backups on the following backup rotation. Exact retention periods per data category are documented in the Privacy Policy.

6. Approvals and account responsibility

You are responsible for configuring project policies, deciding which actions require approval, and managing who holds approval permissions. A policy may allow, deny, or hold an action for human review.

7. Termination

You may stop using the Service and disconnect your tools at any time. We may suspend or terminate access for violation of these terms, non-payment, or where required by law.

8. Limitation of liability

The Service is provided “as is.” To the maximum extent permitted by law, we are not liable for indirect, incidental, or consequential damages arising from use of the Service, including decisions or actions taken based on proposals it generates.

9. Changes to these terms

We may update these terms from time to time. Material changes will be announced through the Service or by email to the account contact on file.
